List Menu Functions

The List menu option will perform certain tasks on the list of members you are currently viewing. Once you have filtered a list of members, you can print reports, save lists by creating groups, delete groups, mail to a group, and modifying fields for a group.  Listed below are the options and step-by-step instructions for each. Below are your choices in the List menu


Email to a Group

This function allows you to send a mass email to all of your members. You MUST have Microsoft Outlook setup as your default email client. You cannot use AOL, or Hotmail or any similar email products.

1. Click on List.

2. Select Email Member List

3. Click Select All, Click OK

5. You may get a 'Profile is invalid' message, click OK, and then a new email message will pop up.

6. Enter your own email address in the TO: field, then fill out the Subject line, write the email and click Send. All member email addresses are in the BCC field, and will not be seen by each member that receives the email.

Export a Group

This function allows you to Export member information to a comma delimited text file.

 

1. Click on List.

2. Click on Export data.

3. Click on Browse and select a folder where you would like the exported file to be saved in.

4. Click in the file name box and type in the file name, press Enter. Ex: C:\exportlist.txt

5. Click on the field's to be exported, then click the small arrow in the middle of the screento move the fields from the left, to the export box on the right.When all fields have been selected, click on OK.

6. When asked to start now, click on Yes.

7. Click Close to exit when finished.

8. The export file can now be sent to a clearing house to print flyers or direct mailings or use it for anything you like.

Modify Fields

This function allows changes to be made to a group of members in the following areas: active status, advisor, source, category/subcategory and class/subclass. The changes will be made to all members currently shown on the List tab. (so make sure the members on your List tab are indeed the members you want to make changes to!)

 

1. Click on List.

2. Choose Modify Fields for Member List

3. Click in the box on the left to select the fields you would like to change

4. Click on the down arrow to select the new information to be stored

5. Click on OK when done. All members in the list will receive the new setting

Print Labels

This function will print labels for all members in the list you are currently viewing. QuikCheK recommends using Avery 5160 labels. There are 30 to a page.


1. Click List.

2. Choose Print Labels.

3. At this point you can preview or print your labels. To avoid printing the wrong list of labels, it's good practice to preview before printing. When you are done printing your labels, click Close to exit this screen

Save current list

This function will Save your current list of members as a group that can be reused again later.

1. Click on List.

2. Click on Save Current List

3. Enter a name for your file. Press TAB.(on your keyboard)

4. Enter a description for your group if you like, click on OK.

5. You will be returned to the Choose the operation screen.

6. Click on Close to exit this screen

Delete a Group

A list that has been saved as a group can be deleted using the Delete a Group option.

 

1. Click on List.

2. Click on Delete Groups.

3. Select the group that you want to delete by clicking on it, click on OK.

4. A Pop-up screen will ask you to confirm that you really want to delete this group,click on OK.

5. You will be returned to the Choose a Group to Delete screen.

6. Click on CANCEL.You will be returned to the Choose the operation screen.

7. Click on Close to exit this screen.

Use a Group

Use a Group allows you to bring up a Member List that you have previously saved.

 

1. Click on List.

2. Click on Use a Group, click on OK.

3. Click on the Group Name, click on OK.

4. Should you wish to perform any of the features under the List menu using this group, follow the steps under that particular feature.
