X-Charge and QuikCheK

       

X-Charge is a credit card approval software package that works in conjunction with QuikCheK, to provide credit card acceptance capabilities.  X-Charge will work in the background when processing credit cards through the POS module, or when running EFT credit card processing for membership dues billing.


Installation

All installs are handled by X-Charge support.


Using X-Charge in POS


If you use X-charge, w
hen you're ready to take a member's credit card for a transaction in the POS screen, click Payment, then select Credit Card. The credit card information window will appear on your screen. If you have a magstripe reader, swipe the card now, or enter the account information manually. Click Process Card. QuikCheK will call using X-Charge. When it gets approved you will see the approval number appear in the Approval Code field. You can now close this window and choose Done. If the card is denied you will see a denied message, and will obviously have to try another card.


Using X-Charge for Billing


You've run your billing, and now have a batch to send for processing. Go to Billing, then Send Data, select Credit Cards. Highlight the batch on the left with today's date on it. Highlight that one only, we don't need to send out any old batches and wind up double billing people. Click the Send Batch button. QuikCheK will connect to your bank using X-Charge. When the batch is finished the Status field will say Batch Finished.



Recreating Batches/Resending Batches


You can create batches to send for approval anytime you want. This is usually done for past-due billing, or when trying to get those members whose cards were denied in your original batch. It's also done when a batch times out and doesn't process. To recreate batches or create new ones for past due balances go to the Account Balances tab. Select credit cards only, in the process types window on the top right. Let's say we want to recreate a billing batch. We need to apply a filter to the list of members so that we only get the charges from billing. On the bottom of the screen we can create a filter to do just that. Enter .01 in the amounts between field on the left. Leave zero on the right. In the dates between fields enter your bill date. If it's the first of the month enter that date. Place a check mark in apply filter. You will now see all members billed on that date and the total amount from billing at the bottom. To create the batch, right-click on the list of names and choose Select All. Then right-click again and choose Create Batch. No go to the Send Data tab and you will see a batch there ready to be sent.


To bill all past due balances, go to the account balances tab. Create a filter. Enter .01 in the amounts between field on the left. Leave zero on the right. Blank out the dates between field on the left, enter today's date on the right. Click Apply Filter. Click credit card only in the process types box. Now we should see everyone that owes us money since the beginning of time, up to today. Right click, select all. Right click, create batch. Send data. Get that money.


You can always create a batch for an individual for approval. Just right click a member's name in the account balances tab and choose create batch. Go to Send Data, and get that money!
